Thank you for being a committee leader!  We appreciate your willingness to serve and support the Virginia Section by leading your committee.  The information contained on this page will help you plan your next event, submit your board report, submit a payment reimbursement request, or a wide variety of other tasks.  If you have any questions or need assistance, don't hesitate to reach out to your Board Trustee or staff for help. 
 

 

Board Report

Board Reports are a great way to brag about your committee and show off all the amazing work you are doing.  They are to be completed quarterly and due on the following dates: January 2nd, April 1st, July 1st, and October 1st. Here are the main items you should include:

  • Current activities
  • Financial impacts
  • Future activities
  • Request for assistance

Don't worry; it's easier than you might think and should only take a few minutes.  Once ready, click the button below to start your quarterly board report.  The information you submit will be forwarded to your Board Trustee (and VWEA if you are a joint committee).

Invoice Payment Requests

Every committee has a budget, and at some point, that money will be used to support the committee's activities.  We advise all Committee Chairs to PRE-APPROVE any spending that is done on behalf of their committee by a committee member.  Once the expense is ready to be reimbursed, the committee chair is the ONLY one who can approve and request reimbursement on the member's behalf. 
 
Here are the main types of financial requests: 
  • Payment of a vendor's invoice
  • Payment of a contractual deposit
  • Reimbursement for money already spent by a committee member

Travel Reimbursements

There are special instructions and a different form for travel expenses and reimbursements.  Below are the forms for any travel you or a committee member does on behalf of the committee (Please see the Travel Policy to learn what is eligible for reimbursement).
 
 

Tax-Exempt Forms

VA AWWA is exempt from paying taxes on supplies and services in the state of Virginia.  Many businesses will request a copy of our tax-exemption status.  Please use the forms below when providing documentation to any organization that requests it.

What good is all your great work if no one knows about it?!?

  • Share knowledge by writing an article,
  • Brag about what you have going on,
  • Ask for attendees (to your events),
  • Ask for volunteers (to join your committee).

All articles and information for the wE-Splash are due by the 25th of each month.

Continuing Education Credits
Continuing Education Credits are the backbone of all our training events.  We ask that every event provides as many credit types as applicable for your event.  Engineering PDH's do not need to be pre-approved and are provided for all training automatically.  Operator credits need to be reviewed and approved before the event is conducted (and before it is advertised, if possible). 
 
Use the following documents when preparing topics/themes and when completing the CPE submission form.
 
Applying for Operator CPEs is a straightforward process that begins by completing the online form below.  The same form can be used for Water and Wastewater Operators.  Once it's complete, your information will be forwarded to the Credit Review Committees for review and approval.  This process should take 3-4 weeks.
 
 
Event Planning
There are many things that make up an event, whether it is a webinar or a multi-day conference.  Either way, we have resources to help you plan an event of any size. 
 
 
Don't forget to look at what events might already on the Section Calendar.  Keep in mind that not all meetings and conflicts are on this calendar.  Make sure to run all dates past staff 
IN ADVANCE to confirm there aren't any conflicts.
